Registration Guidelines

All participants must register via the Online Registration Form. Please read the instructions below carefully.

Online registration will be available up to and including Sunday, 30 September 2018 (23:59 CET). On-site registration will be available at HELEXPO - “Ioannis Vellidis Congress Center”, the EES 2018 Conference site as of 1 October 2018.

*Proof/certificate of the student status from the University (e.g. pdf copy of original inscription by a University or attestation by a professor) including information on type, name, start and duration of the Study Program will be required during the online registration
** Please note that your EES Membership number will be required during the online registration process. In order to qualify for the respective fee Individual/Institutional membership has to be valid until the end of October 2018.
*** EES Institutional member representative – maximum of 5 representatives per institutional member can profit from the discount

Pre-Conference Workshop Fees – lunch, coffee breaks are included in the fee

Travel and accommodation costs are not covered by the registration fees.

Please make sure to pay your registration fee before the deadline for the selected registration type. If your payment is not received before the deadline, the later fee will be automatically charged. Unpaid or only partially paid registration will not be considered as valid until it is fully paid.

Bursary Support

We are expecting to be able to offer bursary support to pay registration/ travel expenses for a limited no. of participants from developing countries. However preference will be given to those who are making some form of presentation. We are currently working on raising sufficient funding for the bursaries thus we would announce bursary opportunities later on together with the bursaries application criteria. Please check the news section at the website.

Registration of EES Institutional Members

  • The EES Institutional member can register up to 5 representatives and profit from the reduced registration fee for each registered representative. For registration within the EES Institutional membership please contact our secretariat at secretariat@europeanevaluation.org

EES Student Membership Conditions

  • The EES is a voluntary professional association which is supported mainly through its members’ contributions. The aim of the student membership reduced fee is to promote and support people doing studies in or related to evaluation and future/new evaluators.
  • The applicants interested in the Student membership category are kindly asked to provide the Conference Department (secretariat@europeanevaluation.org) with following information and documentation before subscribing the student fee:
    • Name and contact details of the applicant
    • Name of the University
    • Type and name of the Study Program
    • Start of the Study Program
    • Duration of the Study Program
    • Contact person from the University, who can vouch for the student's status in the Study Program (reference or letter of recommendation)
    • Proof/certificate of the student status from the University (e.g. pdf copy of original inscription at a University or attestation by a professor)
    • One page statement written by the student on how the reported program and the student's studies are related to evaluation. This is mandatory if the Study program is not specific on evaluation.

Once all the conditions are met (the documentation is reviewed and approved by the EES) the applicant will be contacted by the EES Secretariat. If the application process was successful, the applicant will be asked to proceed with the online Student membership subscription. The Student members are entitled to the same benefits as the Individual members. The Student membership category is subject to annual review and can be applied for a period of maximum 3 years.

Social Events

Welcome Cocktail: included in the registration fee.
Gala Dinner: Is not included in the registration fee. Please note the capacity is limited to 180 pax. The price for a ticket is 80 EUR.

Participants are asked to reconfirm attendance of all social events via the Online Registration Form. This also applies to the social events included in the registration fee.


Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take adequate personal insurance.


Confirmation

After completing the online registration, each participant will receive their registration overview and email notification confirming the received payment.


Payment

All fees should be paid in EUR (€), free of all bank charges. The EES 2018 Secretariat applies no charges for credit card payments and/or transfers. However, please confirm with your bank as to any possible charges from their side.

Please do not send any payments by bank transfer without the Registration number and participant’s name included in the payment details.

Payment by bank transfer is available until 17 September 2018. After this date, all payments can be done only by credit/debit card.

  • Online Payment by Credit/Debit Card

In case of rejected online credit/debit card payment, the delegate is recommended to log into the Online Registration Form and try to process the registration and the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit/debit card issuer/bank first and check if online transactions are not disabled on the credit/debit card. Afterwards, the registration can be processed again.

Online payments service provider: GP webpay.

All online payments are processed via GP webpay secure connection. GP webpay conforms to international standards and it meets the strictest safety requirements of the MasterCard SecureCode and Verified by VISA standards as defined by the MasterCard and VISA card associations. Final Invoice

The final invoice will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.

The final invoice will be issued based on details provided while registering (step Contact/Invoice details). Any change of such details (address, VAT number etc.) is possible only within 3 days from the registering date and is subject to the 20 EUR fee.


Cancellation / Refund Policy

Cancellation of Registration:
Until 15 July 2018 – 50 EUR administrative fees will be deducted from all refunds.
From 16 July 2018 until 31 August 2018 50% of the fee will be refunded.
From 1 September 2018 no refund can be processed.

Cancellation of Other Bookable Items:
Until 31 August 2018 – 20 EUR – administrative fees will be deducted from all refunds.
From 1 September 2018 – no refund can be processed.

No refunds will be given for registrations and ticketed events for failure to attend, late arrival or early departure from EES 2018.

Cancellation of Accommodation:
Detailed Accommodation Guidelines will be published soon.

  • All cancellations must be provided in writing by email to the EES 2018 Secretariat and cannot be done over the phone.
  • Requests for refunds made after 15 November 2018 will not be considered.
  • For any change of name a fee of 50 EUR will be charged.

Group Registrations

Conference Secretariat does not offer a discount for Group Registrations. Any Groups that desire to make a single payment, by either Bank Transfer or Credit Card should contact the Secretariat by email.

Data Privacy and Security

The European General Data Protection Regulation (EU GDPR) entered into force as of 25 May 2018 and it involves some additions to data protection.

We take your privacy very seriously and in order to comply with GDPR consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system. You can view it here.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the event be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
 


Governing Law

Any dispute resulting from the above terms and conditions will be subject to Czech Republic law, and by accepting these terms you are submitting yourself to the exclusive jurisdiction of the courts of the Czech Republic.
